This notice explains how Pressmentor Foundation collects and handles your personal data when you use this recruitment portal, in line with the Uganda Data Protection & Privacy Act, 2019 and the Data Protection & Privacy Regulations, 2021.

1. Who we are
Pressmentor Foundation is the data controller for the personal data processed through this portal. Our Data Protection Officer can be reached at dpo@pressmentor.org for any question about your data or this notice.
2. What we collect
Depending on how you use the portal, we may collect: account details (name, email); your profile (contact details, location, education, work experience, skills); documents you upload (your CV); your job applications, answers, referees, and declarations; voluntary equal-opportunity information; and operational data needed to run the service securely (sign-in records, IP address, and activity logs).
3. Why we use it & our lawful basis
We use your data only to operate recruitment for Pressmentor Foundation. To let you register, build a profile, apply for our vacancies, and be assessed; and to communicate with you about your applications. Our lawful bases under the Act are: your consent; taking steps at your request prior to a possible employment contract; compliance with a legal obligation (for example, safeguarding checks); and our legitimate interest in running the service securely. 4. Equal-opportunity information
Any diversity information you choose to give is entirely voluntary, recorded anonymously, kept separate from your application, and used only for aggregate monitoring. It is never shown to recruiters and never used in selection.
5. Who can see it
Your application data is seen only by the authorised Pressmentor recruitment team. We use a small number of trusted service providers who process data on our behalf under contract: our email host (to send you service emails), a malware-scanning service (VirusTotal, to check uploaded CVs are safe), and our hosting and security providers (including Cloudflare) for infrastructure, error monitoring, and uptime. We do not sell your data or use it for advertising.
6. How long we keep it
We keep application data for a limited period after a vacancy closes, then securely delete or anonymise it. Unless you ask to remain in our talent pool, or we are required to keep certain records. Your account and profile remain until you delete them. Anonymised, aggregate statistics may be kept indefinitely as they no longer identify you.
7. Your rights
Subject to the Act, you have the right to access, correct, export, and erase your data, to restrict or object to processing, and to withdraw consent at any time. If you are signed in, you can exercise most of these yourself from your Account settings. Including exporting your data, requesting deletion, and withdrawing consent. 8. Cookies
We use only strictly-necessary cookies: a session cookie to keep you signed in, and. If you choose “remember me”. An authentication cookie. We set no advertising, analytics, or tracking cookies, so no cookie-consent banner is required.
9. Security & data breaches
Data is transmitted over HTTPS, passwords are securely hashed, and documents are stored outside public access with strict controls. We maintain a documented data-breach response procedure and, where the law requires, will notify the regulator and affected individuals.

11. Changes to this notice
We may update this notice. The current version and effective date are shown above. If we make a material change, we will ask signed-in candidates to review and re-confirm before continuing.
